Event HQ Soft Play Hire – Terms & Conditions

By confirming your booking with Event HQ, you acknowledge that you have read, understood and agreed to the following Terms & Conditions.

Booking Deposit

A non-refundable $50 booking deposit is required to secure your event date. This amount is deducted from your total booking balance.

Full payment must be made 7 days prior to your event unless otherwise agreed in writing.

Refundable Bond

All bookings require a refundable $50 bond/cleaning fee.

This bond will be refunded within 1–3 business days following your event, provided all equipment is returned in its original condition and all Terms & Conditions have been followed.

Additional cleaning, damage or missing items may result in deductions from the bond or additional invoices where required.

STRICTLY NO:

  • Face paint

  • Bubbles

  • Slime

  • Confetti

  • Food or drinks

  • Pens or markers

  • Mud or wet shoes

  • Pets on equipment

These items can permanently stain or damage our equipment and may result in loss of bond and/or additional replacement or cleaning charges.

Hire Period

Standard hire periods are for up to 4 hours unless otherwise agreed.

Delivery and collection times will be arranged prior to your event.

Please ensure adequate access is available for setup and pack down.

Setup Requirements

Our equipment must be set up on a clean, flat and dry surface.

Outdoor setups are permitted on concrete, decking or dry grass only.

A suitable indoor or undercover backup option MUST be available in the event of poor weather.

Event HQ reserves the right to refuse outdoor setup if weather conditions may damage equipment or create safety concerns.

Equipment Care

All soft play equipment, ball pits and hire items must remain as close to the original setup position as possible and must not be moved once installed.

All balls must be returned to the ball pit prior to collection.

The hirer accepts full responsibility for all hired equipment during the hire period.

Any damaged, excessively dirty or missing items will incur repair or replacement costs.

Supervision & Safety

Adult supervision is required at ALL times.

Our soft play equipment is recommended for children aged 0–5 years unless otherwise specified.

Shoes must be removed before entering the play area and socks are recommended.

Children using the equipment do so at their own risk.

Event HQ accepts no responsibility for injuries, accidents or damage arising during the hire period.

Cancellations

Cancellations made more than 7 days before the event date will receive a refund excluding the $50 booking deposit.

Cancellations within 7 days of the event are non-refundable.

Where possible, we are happy to work with customers to transfer bookings to a new date due to illness or unforeseen circumstances.

Weather Policy

We do not offer refunds for cancellations due to wet weather on the day of your event.

Outdoor setups require a suitable indoor or covered backup option in case of bad weather.

Event HQ reserves the right to move or refuse outdoor setup if weather conditions may damage equipment or create safety risks.

Cleaning & Sanitising

All equipment is thoroughly cleaned and sanitised before and after every hire using child-friendly cleaning products.

Please help us maintain the quality of our equipment by ensuring all guests follow our care rules.

Travel Fees

Delivery is included for bookings within Palmerston North, Bunnythorpe, Ashhurst, and Feilding. For locations outside these areas, additional travel fees may apply. You can view our travel pricing here.

Additional travel fees may apply for difficult access locations including stairs, long distances from parking or limited access venues.

Any additional charges will be discussed prior to your event where possible.

Photography & Marketing

Event HQ may use photos of setups for promotional purposes on social media and our website.

No identifying images of children will be shared without permission.

Rules of Play

  • Adult supervision required at all times

  • Suitable for ages 0–5 years

  • No face paint, bubbles, food or drinks

  • No shoes on equipment

  • No rough play

  • Please treat equipment with care

  • Most importantly — have fun!

Liability

Event HQ accepts no liability for injury, loss or damage incurred during the use of our equipment.
